Safeguarding Policy
We are committed to protecting the welfare, dignity and safety of every player listed on this service.
Last updated: 7 August 2026
1. Scope — adults only
This service lists adult players aged 18 and over only. Profiles for under-18s must not be created. If a profile is found to relate to a person under 18 it will be removed immediately and the submitting account reviewed.
2. Our commitments
- Every player is treated with respect, regardless of age, sex, gender identity, disability, race, religion, sexual orientation or background.
- Player data is published only for legitimate recruitment, scouting and squad-management purposes.
- Concerns about a player's welfare are taken seriously, recorded and acted on promptly.
- Bullying, harassment, discrimination and abuse of any kind are not tolerated on or through this service.
3. Safeguarding adults at risk
Some adults may be at risk of abuse or neglect because of care and support needs. Where a concern involves an adult at risk we follow the principles of the Care Act 2014: empowerment, prevention, proportionality, protection, partnership and accountability. We seek the adult's consent before sharing information, unless there is a risk to them or to others, a criminal offence may have occurred, or they lack the capacity to consent.
4. Reporting a concern
Anyone can raise a concern. Contact our Designated Safeguarding Lead:
- Solo Baleisolomone
- kaivitirugbyacademy@yahoo.com
- 078510373735
If someone is in immediate danger, call 999. For non-emergency police matters call 101, or contact the adult social care team at the relevant local authority. Concerns about conduct in the game can also be reported to the relevant national governing body's safeguarding team.
5. How we respond
- The concern is recorded securely and shared only with those who need to know.
- We acknowledge reports within 2 working days.
- Where appropriate we refer to the police, local authority or the governing body.
- Profiles or accounts may be suspended while a concern is investigated.
- Records of concerns are kept securely and confidentially in line with our Privacy Notice.
6. Images, data and consent
Photographs and personal details are published only where the player has agreed. A player can ask for their photograph, contact details or entire profile to be removed at any time by emailing the address above or our data protection contact, and we will action the request promptly.
7. Whistleblowing and confidentiality
Anyone reporting a genuine concern in good faith will be supported and will not be penalised, even if the concern turns out to be unfounded. Information is shared on a strict need-to-know basis.
8. Review
This policy is reviewed at least annually, and after any significant incident or change in legislation or governing-body guidance.
